Responsibilities
- Calendar & Communication Management: Manage complex calendars for the CEO and EVP of Growth, prioritize engagements, screen and manage emails and calls, and serve as liaison for internal teams and external partners.
- Meeting & Event Coordination: Organize and prepare for meetings, schedule sales meetings with C-suite prospects, assist with conference planning and logistics.
- Sales Support & CRM Management: Record and maintain accurate sales activity in HubSpot, generate dashboards, reports & presentations, track proposals and customer communications.
- Travel & Expense Administration: Plan and book travel itineraries, manage expense reports accurately and promptly.
- Digital Engagement & Marketing Support: Assist with social media scheduling, website updates, and monitoring engagement.
- Administrative & Operational Support: Prepare and maintain confidential documents, manage office supplies and filing systems, support recruitment coordination for sales hires.
- Project Management & Strategic Tasks: Lead or support ad-hoc projects, identify and resolve operational bottlenecks proactively.
Skills & Qualifications
- 2+ years supporting senior leaders (Sales, Growth, or Revenue Ops preferred)
- Mastery of Microsoft 365 (Outlook/Excel/PowerPoint/Teams) and proficiency with HubSpot CRM
- Exceptional organization and prioritization across multiple, shifting inputs
- Sharp written and verbal communication; executive‑ready writing and proofreading
- High discretion with confidential information; sound judgment and reliability
- Ability to work U.S. time zones with occasional travel
